As Practice Manager you will support the Executive Search Practice by providing a valuable administration support role to ensure excellence in all that the team delivers, as well as providing excellent candidate and client service. You will work as part of an integrated management team across Penna to deliver excellence to our clients and candidates. The role is responsible (on behalf of the Head of Delivery) for business efficiency, smooth operation and quality assurance of executive search recruitment delivery. This includes; delivery management processes, systems, technology, best practice and regulatory compliance and also for ensuring all customer and candidate interfaces offer a high quality and responsive experience relevant to the senior level candidate base we operate with. The role is also required to drive standards, KPIs and SLAs as set by the Directors across the Executive Business Support (EBS) team, in addition to continually searching for ways to reduce the administrative tasks carried out by consultants.
Key Accountabilities & Responsibilities
Responsible for line management, quality management and motivation of the Executive Search practice support team and project/matrix management across the business to deliver successful outcomes.
Coordinating workloads of the Executive Search EBS team to ensure high quality and effective support is provided and helping to re-prioritise quickly in order to meet clients’ needs.
Continually search for ways to reduce the administrative tasks handled by consultants ensuring that their time can be directed towards business development and recruitment delivery activity.
On behalf of the Head of Delivery (HoD), lead process and systems improvement and ensure that the right level of resource is available to support the team to be highly effective and exceed their financial targets. Support HoD with allocating resources to roles.
Maintenance and management of practice management information, including pipeline and forecasting information, monitoring of project timelines, capacity tracking and risk registers.
Lead with the processing of the financials for the team and working closely with the Accounts/Credit Control team to assist with any queries.
First line support for client, candidate and consultant queries.
Co-ordination of projects and resources to support business development and delivery, including provision of support to consultants.
Ensuring the quality of the data held on Penna IT systems.
Adhering to best practice standards as set out by Penna and complying with all systems and processes for data and assignment information capture.
